Job Description

Green Bay Packers Job Posting Summary/Objective: This position will support multiple senior leaders, including the Vice Presidents of Marketing; Sales & Business Development; Security, Facilities & Risk; Human Resources; and General Counsel. The key responsibilities will include providing comprehensive administrative support, including potential meeting coordination, calendar management, expense reporting, invoice processing, preparation of agendas and correspondence, and support special projects as needed. Job Responsibilities: • Manages VPs calendars, schedules meetings (internal, external, and Board of Director), prepares agendas, orders food and beverages, and takes notes as needed. • Communicates with external clients and colleagues on behalf of VPs and the organization. • Creates presentations for speaking engagements and meetings including Committee meetings, Board of Director meetings, and Shareholders meetings. • Assist with booking speaking engagements and coordinating logistics. • Strategic ideation, planning and executing of team building events, staff retreats, and department gatherings. • Assist with escorting guests in the building or at events (i.e. Training Camp) • Coordinates travel, lodging, ground transportation, detailed itineraries, and expenses associated with travel. • Manages expense reports. • Processes invoices and assists with budget planning and tracking. • Provides general administrative support including copying, scanning, correspondence (email and hand-written), etc. • Compiles data into spreadsheets, charts and graphs as needed. • Provide support for occasional games and events as requested. • Assists with miscellaneous projects as requested. Qualifications: • 5-7 years of experience in an Executive Assistant role. • Proficient with Microsoft Excel, Outlook, Power Point, Word, Zoom and Teams programs. • Detail oriented with data entry, and charts/graphs experience preferred. • Highly organized and able to handle highly confidential materials with discretion. • Ability to handle multiple projects and display effective time management skills. • Strong interpersonal skills and the ability to work effectively with a wide range of customers. • Ability to drive a vehicle as requested. Physical Demands and Work Environment: • Ability to sit for extended periods of time. • Ability to remain in a stationary position for periods of time. • Ability to focus on projects for periods of time. • Occasionally lift and carry up to 25 pounds. • Operates in a professional office environment. • Role routinely uses standard office equipment.
