Job Summary:
We are seeking a highly organized, strategic, and discreet Executive Administrative Assistant to support Global Partnerships leadership. This role is ideal for a proactive problem-solver who thrives in a fast-paced, high-profile environment and can seamlessly manage executive operations while contributing to partnership success.
You will play a critical role in optimizing executive effectiveness, coordinating cross-functional initiatives, and supporting the delivery of world-class partnership experiences. The ideal candidate demonstrates sound judgment, exceptional communication skills, and the ability to anticipate needs while handling sensitive information with the utmost confidentiality.
This is a seasonal, temporary role for the duration of the upcoming season, with the potential for long-term placement based on performance and business needs. This position follows a hybrid schedule (typically Monday–Thursday in-office, Friday remote). However, flexibility is essential; because we operate in sports and entertainment, you must be available to work evenings, weekends, and game days as required to support our leadership team and partners.
Key Responsibilities:
Executive Operations & Administrative Support
•
Manage complex calendaring, scheduling, travel coordination, and expense reporting for Global Partnerships leadership.
•
Establish and maintain a structured weekly operating rhythm, including preparing agendas, briefing materials, and executive reports.
•
Draft, edit, and proofread high-level communications, presentations, and correspondence for senior leadership.
•
Coordinate logistics for executive meetings, offsites, team events, and professional development initiatives.
•
Handle confidential business, financial, and partnership information with a high level of discretion.
Global Partnership Coordination
•
Support the execution of partnership engagement plans, including onboarding, renewals, and activations.
•
Assist in the coordination and delivery of partnership assets such as signage, digital placements, hospitality, and promotional elements.
•
Collaborate with internal teams (sales, marketing, creative, events) to ensure timely and seamless execution of partnership commitments.
•
Provide on-site support during games, events, and key partner engagements.
Cross-Functional Collaboration
•
Serve as a liaison between Global Partnerships leadership and internal departments to ensure alignment on priorities and deliverables.
•
Track action items, maintain project timelines, and ensure accountability across teams.
•
Support internal communications and help streamline workflows to improve operational efficiency
Data, Reporting & Insights
•
Maintain accurate partner records and engagement activity within CRM systems (e.g., Salesforce).
•
Assist in preparing post-event recaps, performance summaries, and executive reports.
•
Track key metrics and support the development of insights that inform partnership strategy and growth opportunities.
Requirements:
•
3–5 years of experience in executive administrative support, operations, or partnerships in a fast-paced environment.
•
Exceptional written and verbal communication skills, with experience supporting C-suite or senior leadership.
•
Strong organizational skills with the ability to manage multiple priorities and deadlines.
•
High level of professionalism, discretion, and sound judgment.
•
Proficiency in Microsoft Office (Excel, PowerPoint, Outlook) and CRM systems such as Salesforce.
•
Ability to work flexible hours, including evenings, weekends, and event days.
